Using the Song Requests Dashboard in BookLive

The Song Requests Dashboard gives you a single place to review, approve, and decline every custom song request your clients have submitted — across all of your performances at once. Instead of digging into each gig individually, you get a centralized inbox with filtering, search, and one-click access to BookLive’s sheet music and resource library.

Before You Begin #

  • You must be a group leader to access the Song Requests Dashboard.
  • Clients submit song requests through the Client Portal when the feature is enabled for your group (it is on by default).
  • To manage song requests on a single performance, open that performance and navigate to the Song Requests section within the client portal settings. The dashboard described here covers all performances at once.

Step 1: Open the Song Requests Dashboard #

From your group dashboard, look for Song Requests in the left sidebar navigation. Clicking it opens the full group-wide dashboard.

At the top of the page you will see an enable/disable toggle:

  • Song Requests Enabled — clients can request custom songs through the Client Portal.
  • Song Requests Disabled — the song request option is hidden from all clients across all of your performances.

Toggle this switch at any time to turn the feature on or off for your entire group.

Step 2: Filter and Search Requests #

Below the toggle, you will find status filter chips and a search bar.

Filter by status:

  • All — shows every request regardless of status, with a total count.
  • Pending — requests awaiting your review.
  • Approved — requests you have accepted.
  • Declined — requests you have turned down.

Each chip displays the count of requests in that status. Click a chip to filter the table instantly.

Use the Search field in the top-right of the card to search across song names, artist names, and performance titles.

Step 3: Review a Song Request #

The table lists every request with the following columns:

  • Song Name — the title the client entered.
  • Artist — the original artist they specified.
  • Performance — which gig the request belongs to, with the event date shown beneath.
  • Timeline Section — the specific event within the timeline the client wants the song for (e.g., “Cocktail Hour”). Shown as a dash if no section was specified.
  • Status — a color-coded chip: orange for Pending, green for Approved, red for Declined.
  • YouTube — a play icon that links to the YouTube video the client provided, if any.
  • Requested — the date and time the request was submitted.
  • Invoice — a green dollar sign icon if a custom song charge was added to the invoice when approving.

Click anywhere on a row to open the Song Request Details dialog.

Step 4: Approve or Decline a Request #

Inside the detail dialog, you will see the full context for the request — including any resources BookLive has found for the song in its catalog.

BookLive Song Resources #

If the requested song matches a title in the BookLive Master Song Library, you will see a green banner: “Great news! We have resources available for this song.”

Available resources may include:

  • Piano/Vocal Score
  • Guitar Chords
  • Backing Track
  • String Quartet Sheet Music
  • A Spotify link to preview the song

Click any resource link to open it in a new tab. If the song is matched but no resources are currently available, a blue informational notice will appear instead.

Approving a Request #

  1. Click Approve at the bottom of the detail dialog.
  2. A confirmation screen appears. You can optionally check Add custom song charge to invoice and enter a dollar amount if you charge for learning new material.
  3. Click Approve to confirm. The request status updates to Approved, and the client’s performance record reflects the decision.

If you added an invoice charge, a green dollar-sign icon will appear on that row in the dashboard table, and the amount is added as a line item on the client’s invoice.

Declining a Request #

  1. Click Decline at the bottom of the detail dialog.
  2. Enter a Decline Reason — this field is required. Your reason helps the client understand why the song isn’t available.
  3. Click Decline to confirm. The request status updates to Declined. The decline reason is stored and visible when you review the request later.

Tips & Notes #

  • Requests are sorted newest first by default. Use the status filter chips to focus on what needs your attention.
  • The Watch on YouTube button (shown in red when a YouTube link was provided) lets you quickly preview the song before making a decision.
  • Approved and declined requests are not deleted — they remain in the dashboard for reference and are visible in the Approved and Declined filter views.
  • Enabling or disabling song requests here affects all performances in your group. You cannot enable it for individual performances while it is disabled at the group level.
  • Clients submit requests through the Client Portal on a per-performance basis. Each request is tied to a specific gig and optionally to a specific timeline event.
