How Performance Reminders Work for Your Musicians

BookLive automatically sends reminder notifications to your musicians before their performances.
Here’s how it works:

Reminder Schedule
Your musicians receive two automatic reminders for each performance they’re booked for:

  1. 3 days before the performance
  2. 1 day before the performance (the day before)

    What Gets Sent
    The reminders include:
  • Your group name
  • The performance title
  • The performance date (for 3-day reminders)
    Example SMS:
    “Reminder: You have a performance in 3 days on Dec 15: Extreme Strings: Holiday Concert. To turn
    these reminders off, visit booklive.com/settings”

    How Musicians Receive Reminders
    Each musician controls their own reminder preferences in their BookLive settings. They can choose
    to receive:
  • Email reminders (sent to their BookLive email)
  • SMS text reminders (sent to their phone)
  • Both
  • Neither (if they prefer to manage their own calendar)
    For SMS messages: BookLive intelligently uses their group-specific phone number (if they’ve
    provided one for your group) or falls back to their personal phone number.

    Important Notes
  • Only confirmed musicians receive reminders (musicians who have been assigned to seats)
  • Canceled or postponed performances don’t send reminders
  • Musicians control their preferences – you don’t need to manage this
  • No action needed from you – this all happens automatically

    Musicians Can Opt Out
    If a musician doesn’t want to receive these reminders, they can turn them off at any time by:
  1. Visiting booklive.com/settings
  2. Toggling off “Performance Reminder Emails” or “Performance Reminder SMS”
    This ensures your musicians always know when they have upcoming performances, without you having to manually remind everyone!
